Purpose:

The role of the sales administrator plays a key role in ensuring the smooth and efficient operation of the sales department and office. This role involves handling a wide variety of administrative tasks to support the sales team and help grow the portfolio, attention to detail is key.

Key responsibilities:

This list of responsibilities is not exhaustive, and the Sales Administrator may be required to perform duties outside of this as operationally required and at the discretion of the Directors.

  • Manging the reception area, including welcoming clients
  • First responder for telephone and visitors
  • Producing accurate sales documentation such as terms of business, anti money laundering and brochures
  • Upload properties to portals and amend if required
  • Update window cards and manage sales boards
  • Organise meetings, taking minutes and scheduling appointments as required
  • Cover viewings if required
  • Performing data entry roles, including updating records and databases for the branch
  • Collaborating in team and office presentations, supporting the visibility of the branch
  • Actively taking part in team projects and training
  • Joining company meetings as required, exchanging knowledge
  • Maximising all cross-selling opportunities within Tod Anstee
  • Liaising with other branches efficiently and effectively as required
  • Administrative support for external marketing activities as required
  • Supporting with external marketing and promotional events as required
  • Travelling to and providing cover for other local branches as required to cover sickness/holidays
  • Complying with Tod Anstee Code of Conduct and Policies and all legislation that affects the business

Person Specification – essential criteria:

  • A people person with outstanding verbal and written communication skills
  • Previous administrator (within an estate agency role is preferred)
  • Exceptional organisation and time management skills
  • Proficiency in filing and paper management, including the ability to manage business correspondence and confidential information
  • Excellent problem solving skills, the ability to research and an aptitude for helping others
  • Ability to prioritise workloads and work to deadlines
